Privacy Notice | Trailarent Namibia

1. Who we are

Trailarent Namibia ("we", "us", "our") operates trailarental.com and the trailer rental, custom manufacturing and repair business run from ERF 3, Voigts Street, Southern Industrial, Windhoek, Namibia. We are the party responsible for the personal information described in this notice.

2. What we collect

We only collect what we need to process a booking or respond to your enquiry:

Contact details — full name, phone number, email address and country, entered on the booking form.
Booking details — the trailer you select, pickup/drop-off dates, times and location.
Identity & eligibility documents — driver's licence, proof of citizenship/residency or proof of residence, if you choose to upload them with your booking (PDF, PNG, JPEG, JPG, TIFF or BMP files, optional at booking stage — you may instead bring these when you collect the trailer).
Payment reference details — we do not process card payments through the website; payment is arranged separately by bank transfer using the reference details we send you.

3. How we collect it

We collect this information directly from you when you complete and submit the booking form on booking.html, or when you contact us by phone or email.

4. Why we use it

To process and confirm your trailer booking, and contact you about availability and payment.
To verify your eligibility to rent (valid licence, proof of residence) in line with our rental requirements.
To respond to enquiries sent to booking@trailarental.com or via phone.
To keep the business records we reasonably need for accounting, tax and dispute-resolution purposes.
To protect the booking form against spam and abuse (see reCAPTCHA under Third Parties, below).

We do not sell your personal information, and we do not use it for advertising or marketing profiling.

5. Namibian legal context

Namibia does not yet have a dedicated Data Protection Act in force; a Data Protection Bill has been drafted but has not yet been passed into law. In the meantime, the right to privacy is protected under Article 13 of the Namibian Constitution. Trailarent Namibia handles personal information in line with that constitutional protection and with widely recognised data protection principles (such as collecting only what is needed, using it only for the stated purpose, and keeping it secure) as a matter of good practice, even where a comprehensive statute has not yet come into force. We will update this notice if and when Namibian data protection legislation is enacted.

6. Third parties & service providers

A small number of trusted service providers help us run the website and process bookings. Each handles data under its own privacy policy:

FormSubmit (formsubmit.co)	Receives your booking form submission (including any uploaded documents) and forwards it by email to booking@trailarental.com. We do not run our own booking server.
Google reCAPTCHA	Checks that the booking form is being submitted by a human, not a bot, to reduce spam. Governed by Google's Privacy Policy and Terms of Service.
Google Fonts	Loads the typefaces used across the site directly from Google's servers.

7. How long we keep it

We retain booking and correspondence records for as long as reasonably necessary to fulfil the rental, deal with any related queries or disputes, and meet our accounting and tax record-keeping obligations, after which they are deleted or anonymised.

8. Keeping your data secure

We take reasonable technical and organisational precautions to protect the personal information we handle, including limiting who can access booking correspondence. No method of transmission or storage over the internet is completely secure, and we cannot guarantee absolute security.

9. Your rights & choices

You can ask us at any time to:

Tell you what personal information we hold about you.
Correct information that is inaccurate or out of date.
Delete your information, once it is no longer needed for the purposes above.

To make a request, email booking@trailarental.com. We'll respond as promptly as we reasonably can.

10. Children's privacy

Our services are intended for adults able to hold a valid driver's licence and enter into a rental agreement. We do not knowingly collect personal information from children.

11. International data transfers

Because we use FormSubmit and Google services to run parts of the website, some information may be processed or stored on servers located outside Namibia. Those providers apply their own safeguards, as set out in their respective privacy policies.

12. Changes to this notice

We may update this Privacy Notice from time to time — for example, to reflect a new service provider or a change in Namibian law. The "Last updated" date at the top shows the latest revision.
